Keep your agreements moving forward even when the primary signer isn’t available. With Secured Signing’s new On-Behalf Signatures feature, authorized representatives can legally and securely sign documents on behalf of another individual or entity with just a few clicks.

Whether you are dealing with Power of Attorney (POA) arrangements or corporate general authorizations, we’ve made the process seamless, compliant, and fully customizable.

Secured Signing’s On-Behalf Signatures feature provides a secure, compliant way to capture these signatures within your digital signing workflow. Every signature is recorded with a complete audit trail, ensuring transparency, accountability, and legal confidence.

What Are On-Behalf Signatures?

The On-Behalf Signatures feature allows an authorised signer to electronically sign a document on behalf of another individual (the principal).

When configuring the signing workflow, you simply add an on-behalf signer, specify the principal’s name, and choose the appropriate signing authority.

The signer is then guided through selecting the signature wording and font before completing the signing process.

Why Use On-Behalf Signatures?

  • Clear Representation.
Every signature clearly identifies who signed and who they represented, reducing ambiguity and improving document clarity.
  • Better Compliance.
Maintain transparent records of delegated signing authority with complete audit trails that support legal and regulatory requirements.
  • Faster Business Processes.
Avoid delays when authorised representatives need to complete contracts, approvals, consent forms, or legal documents.
  • Flexible Signing Workflows.
Support both legal Power of Attorney scenarios and everyday delegated signing within the same secure digital workflow.
  • Improved Trust.
Recipients can immediately see that the document was signed by an authorised representative, helping build confidence in the validity of the transaction.

How It Works (For Senders)

Setting up an on-behalf signer is quick and intuitive. When preparing your document, simply follow these four steps:

  1. Select the Signer Type: Choose between POA (if the signer is an authorized attorney) or General (for corporate, administrative, or other authorized scenarios).
  2. Enter Signer Details: Provide the name and email address of the person actually signing the document.
  3. Identify the Principal: Enter the name of the individual or entity that the document is being signed for.
  4. Click Add: Place the signature slot onto your document and send!

What’s the difference between POA and General?

  • POA (Power of Attorney): Displays the customized legal text block and font selection.
  • General: Includes the customized text block, font selection, plus a physical/digital signature from the on-behalf signer for extra verification.

Two Types of On-Behalf Signatures

Power of Attorney (POA)

Choose POA when the signer is acting under a legally recognised Power of Attorney.

The signature displays text indicating that the signer is acting as the Attorney-in-Fact, without displaying a handwritten signature image.

Examples include:

  • Principal by John Smith, Attorney-in-Fact
  • Principal by John Smith, Attorneys under POA
  • John Smith, Attorney-in-Fact for Principal

This option is ideal for legal, financial, healthcare, and property transactions where Power of Attorney authority must be clearly represented.

General On-Behalf Signing

Choose General when someone is authorised to sign on another person’s behalf outside of a Power of Attorney arrangement.

In this option:

The signer’s electronic signature is included.

Signature wording clearly identifies both the principal and the authorised signer.

The signer chooses their preferred signature text and font during signing.

Examples include:

  • Signed on behalf of David Principal, John Smith
  • For and on behalf of: David Principal By: John Smith
  • Signed for: David Principal By: John Smith, acting on their behalf

This option is commonly used for corporate approvals, delegated authority, administrative signing, and authorised business representatives.
