This gives you a defensible evidential trail to support the identity assurance expected under current guidance from the Faculty Office, Law Society of Scotland and Law Society of Ireland.
Notarial practice across England, Wales, Scotland and Ireland operates under different rules, but the pressure is the same everywhere: verify identity beyond doubt, keep a robust record, and stand behind every act you complete.
Secured Signing is built to move with you across all three document categories, on one platform:
The result: one platform, one login, one fraud-protection layer — instead of stitching together separate tools to cover your obligations across every type of instruction that lands on your desk.
UK notarial practice splits documents into three clear categories. Knowing which bucket a document falls into, before the appointment starts, saves you and your client time, and Secured Signing is built to support you across all three.
These can be verified and notarised entirely over video link, with the notary confirming details against the source or an independent register:
These carry strict physical witnessing requirements under English and Scottish law, so the appointment must happen face-to-face, but the notary still signs digitally, ready for e-Apostille:
The FCDO and commercial registries prohibit electronic formats entirely for these, so they always need wet-ink processing and a paper apostille:
Experience all the benefits, with all the best features, all-in-on place.

Use an Advanced Electronic Signature (AES) for standard commercial agreements, and a Qualified Electronic Signature (QES) for deeds, real estate, banking, wills, and anything a foreign authority needs to accept without question.
The right choice depends on the document, the jurisdiction, and who’s asking for it, here’s how to tell which one you need.
An AES is a legally binding electronic signature that uniquely identifies the signer and is linked to the document in a way that detects any later changes. It’s the standard signature level for day-to-day business, and it’s what most notarisation workflows use when only one party is signing.
Best used for:
If you’re running a straightforward remote notarisation and the document doesn’t need to stand up unaided in a foreign court, AES is very likely all you need.
A QES is the gold standard of digital signatures. It’s the only signature level that carries an automatic legal presumption of validity under the eIDAS Regulation, which means it’s harder to challenge and doesn’t need extra evidence to hold up in court.
To issue one, the signer needs face-to-face identity verification, typically done through a secure video call, and a certificate issued by a regulated Qualified Trust Service Provider (QTSP).
If your transaction falls under Scottish jurisdiction and requires “self-proving” status, meaning it’s presumed legally valid in court without needing extra evidence, a QES isn’t optional. It’s mandatory.
With Secured Signing’s all-inclusive annual subscription, fraud protection isn’t an add-on — it’s built into every layer of the platform:
You get a platform that supports your record-keeping duties to your regulator, whichever side of the border, or the Irish Sea, you’re practising on.
The privacy and protection of your data is something we take very seriously. We offer a secure digital signature technology and a secure platform for executing the signing that gives you all the tools you need for a legally binding and robust document execution.

Secured Signing offers a seamless online notary platform that simplifies the entire process. With our secure and easy-to-use tool, you can get documents notarized quickly and remotely, saving you valuable time and hassle.
Remote electronic notarisation lets certain documents be notarised entirely over a live video link — such as Zoom or Teams — instead of meeting your notary in person. The notary verifies your identity using biometric technology, witnesses the signing, and applies their digital seal and certificate, all within the same appointment. Not every document qualifies for this route under current guidance; see our document eligibility guide above for what can and can’t be done remotely.
AES verifies the signer and secures the document against tampering. QES does the same, but adds face-to-face identity verification and a certificate from a regulated Qualified Trust Service Provider, giving it an automatic legal presumption of validity under eIDAS.
ID Verification with Biometric Face Matching: We verify the signer’s government-issued ID (e.g., driver’s license or passport) and use cutting-edge biometric face match technology to match the signer’s live video feed to the photo on their ID. This confirms the person on the call is who they claim to be, and gives the notary a documented basis for that identity check.
Realify is built directly into Secured Signing’s remote and electronic notarisation platform. It analyses the signer’s face and audio in real time, both before and during the appointment, and returns a clear authenticity result. This adds a further layer of protection against AI-generated deepfakes and identity fraud, on top of standard document and biometric checks.
IPEN lets you complete a notarisation digitally while still meeting your client face-to-face, as required for documents like deeds, affidavits, statutory declarations and wills. Rather than handling a paper signing and separate scanning step, the notary signs an electronic version of the document on the spot, ready for e-Apostille where required. It’s a practical fit for notaries who meet clients across multiple locations rather than from a single office.
Both AES and QES comply with UK eIDAS standards and are recognised across the EU. That said, recognition isn’t automatic everywhere. Always confirm with your foreign recipient, the receiving bank, court, or registry, that digital e-notarisation and e-Apostilles are accepted in their jurisdiction before you proceed.
Not everything is eligible for e-notarisation. UK-issued birth, marriage, and death certificates, along with criminal record checks, can’t be notarised online because they’re subject to Crown Copyright restrictions. Know this before the appointment starts, so you’re not caught out mid-process.
Note: Notarial practice differs across England & Wales, Scotland, Northern Ireland and Ireland, and not every document type or transaction is suitable for remote completion under current guidance (oaths, affidavits and statutory declarations, for example, typically still require physical presence in England & Wales).
Secured Signing supports notaries in meeting their own regulatory obligations it does not replace the need to check current guidance from the Faculty Office, Law Society of England and Wales, Law Society of Scotland, Law Society of Northern Ireland or Law Society of Ireland for a specific matter.
