Witness Pool by Secured Signing

Need a witness? Invite your whole pool in one click.

With Witness Pool, getting one of your witnesses into a Remote Online Notarization (RON) meeting is quick, simple, and stress-free.

What is Witness Pool?

Your people. Your witnesses. One smooth process.

Witness Pool lets your team use its own approved staff as witnesses in Remote Online Notarization (RON) meetings. Law firms, title agencies, banks, and signing services can invite witnesses, schedule them ahead of time, and keep every meeting in one recorded audit trail.

Why use Witness Pool?

  • Faster signings: invite multiple witnesses at once instead of chasing them one by one
  • Zero friction for witnesses: no account or sign-up required
  • Flexible scheduling: reschedule or swap in another witness before the meeting starts
  • Smoother meetings: sort out witness availability upfront so everyone’s time is respected
  • Every session is auditable. Witness identity, participation and the session recording are captured in one audit trail.

How it works

  1. Set up your witness pool
Your notary or account admin can create a witness pool in Secured Signing within seconds. If your company already has a witness pool set up, you’re good to go.
  2. Send an invitation to your witness pool
Calling all witnesses! Once your document is ready for a witness signature, invite your witness pool. Your witnesses receive an email invitation to accept and join the scheduled RON meeting.
  3. Meet and sign
Your approved witness join the meeting, witnesses the document(s), and you’re done.

No account? No problem.

Your witnesses don’t need a Secured Signing account. They get an email, click the link, add their details, and join the meeting. That’s it. Everything is set up behind the scenes in your notary or organization account, so there’s nothing extra for your witnesses to install, create, or manage.

Peace of mind for time-sensitive documents

Deadlines don’t wait, and neither should your signing. If your witness hasn’t been approved to join, or can’t make it, your notary can easily reschedule the meeting or invite another witness from the pool.

All of this happens before the RON meeting begins, so the meeting itself runs smoothly, with no delays and no last-minute scrambling.

Law Firms

Assign trusted paralegals and admin staff as witnesses for wills, powers of attorney, trusts and deeds. Client documents stay within the firm, and confidentiality is never in question.

Title Agencies

Use closers and escrow staff already on the team as witnesses. Closings stay on schedule without outside parties, and the agency controls who sees sensitive financial documents.

Banks and Lenders

Use approved staff, which keeps customer and loan documents inside existing access, confidentiality and vendor-risk controls. Every session follows the same procedure across branches and teams, and the single audit trail supports regulator reviews and internal audit.

Signing Agencies

Manage a network of witnesses under your own standards and brand. Every witness follows the same process, so the client experience is consistent across all orders.

Perfect for any business or team needing witnesses daily.

FAQ about Witness Pool

What is a witness pool?

No. Witnesses receive an email invitation and join the meeting without creating an account.

Your notary can reschedule the meeting or invite another witness from the pool before the RON meeting takes place.

Witness Pool has no per-witness fee, because you use people you already employ. Additional participant costs may apply for the Video Signing or RON meeting.
