Keep reading for our tip of the month! That’s right! Work just got a whole lot easier for companies requiring notarized documents… especially for those using the Secured Signing RON platform. Our new features focus on empowering organizations requiring an immediate notary professional, with quick and easy access to an available notary, ready when you are to complete the task! New Feature: Notary Queue Let’s face it… We all know that receiving, placing, and returning requests for a RON notary is a time sensitive issue… Sound familiar? The requestor wants immediate confirmation that the job has been received and will be taken care of. Often, schedulers are buried in tedious tasks and fulfilling these requests can be daunting, due to special circumstances or the “end of month” chaos. Rather than delaying the process, you can experience automated speed without any setback! Secured Signing’s new notary queue feature allows for a quick notary assignment to post into queue. Simple, smart, and secure… Through our innovative technology, the request is immediately processed and assigned to a notary queue where an available notary can proceed with the job and the session invite forwarded to the signer. Notary Queue is perfect for medium to large companies performing frequent signing services and have remote, in-house RON certified Notaries able to perform RON for the entire company. The new feature supports the ability to have different roles/people assigned to the document that can prepare and tag as needed, a meeting host and a notary. The feature also allows for the company to run the notary signing service within the queue feature. Using Secured Signing’s API or a manual entry process, the scheduler enters the data and assigns it into a queue. A pool of your company’s notaries can pick up the assignment or you can assign it directly to a specific notary of choice. This is also a great solution for enterprise clients who plug into a pool of notaries that fulfil session requests on a shift basis. Any notary on duty can pick up the assignment for immediate or future fulfilment. If they pick up the assignment by mistake or cannot complete the assignment, they simply return it to the queue for pick up by another notary. Add Queues – Setting Admin Users within Team (up to 10 users/ Notaries) or Enterprise account (unlimited number of users/notaries) plan can setup unlimited queue and can assign available notaries to the queue. An admin user can set up multiple queues based on types of transactions, time of the transaction or special language requests etc. You can create as many queues as you required. Assign To me (Notary) – Notary is taking the Job Once a preparer has submitted a document to the Notary Queue, the notary can accept the job, complete the document preparation, and invite principle/signer to join the Remote Online Notarization meeting. Once the scheduler/preparer selects an assignment to fulfil the task, they can prep the document for signature and assign it for pick up by a notary in the queue. The session invite is simultaneously sent to the signer(s) advising them of an upcoming RON meeting. The admin can monitor the queue to ensure all sessions are picked up or they can assign it from the queue to a specific notary for fulfilment. All queue members (notaries) will receive an email notification that job is posted to a queue. The principle (signers, witness, guests) will also receive an email notification that the job was assigned to a notary queue, and someone will be in touch, shortly. Job not for me – Assign back to the Notary Queue In case Notary took a job but cannot perform the task, they can assign it back to the queue for another available notary. Notary Queue Management Admin users within a Team or Enterprise account plan have full visibility and control of the notary queues. The admin or those assigned in a queue have visibility of the queue for management and monitoring of the process, ensuring all submitted requests are fulfilled! New Feature: Snapshot Often times, a notary has the need to collect or capture an image of supporting documentation, credentials, or stipulations during the RON session. With Secured Signing’s new Snapshot feature, you can capture that image, crop, edit and label on the fly. The Snapshot feature allows for capture of up to 10 images per signer. This month’s New Features and Enhancements focus on empowering recruiters across the onboarding and recruitment lifecycle within Bullhorn’s CRM/ATS. Secured Signing’s collaborative team are always at the helm in developing amazing, new, and innovative ways to engage Bullhorn users by delivering new features and platform enhancements that help simplify the process. Here are some exciting capabilities we’re rolling out across our platform for Bullhorn users this month: Form Filler Templates – Share Templates Collaboration just got easier with the more ways to share Form Filler templates with other Bullhorn users in your team. If you are a Secured Signing Admin user, you can now go to your Bullhorn template list, and click the “share” button. You can then select which user accounts or groups to share the template with. Now you can do the following with Secured Signing for Bullhorn Settings Page: Notes Management You now have greater control over which notes are saved into Bullhorn. Within your account settings, you can select save all notes or only ones that you have selected. Form Filler Template and Form Direct File Type Now, you can setup the file type for documents that are signed using Form Filler or Form Direct. This can be done within your account settings. Choose where signed documents are saved Now, you can choose if you want to save all signed documents back to Bullhorn or you can select based on document, templates, or file type. You can leverage Secured Signing’s cloud storage integration such as OneDrive, DropBox, Google Drive, or SharePoint. Template Management – Sort By Name or Last Change Date We have added sort functionality to Templates to help users better manage their templates. You can also sort by how many lines of templates you want to view. Your preferences will be saved for the next time you visit your Template Management list. Enhancements to SSO with Azure AD If you are using SSO with Azure AD, Admin Users can now disconnect it’s organisations users without requiring Secured Signing password authentication. Clarifications to Manager Role in Bullhorn Someone with a Manger role in Bullhorn is not automatically a Secured Signing Admin user therefore they cannot connect users to our service. To connect and disconnect users of Secured Signing, you must have a Secured Signing Admin user privileges. TIP: It is important to click the “Save Setting” button every time you make changes to your settings. New Feature – Needs to View “As a leading Digital Signature and Remote Online Notarization (RON) platform, we continue to release features and enhancements to our platform that will have a real impact on our user’s day-today operations, which is why we are excited to release “Needs to View,” a new process, which allows to invite a person to view the document, but not sign.” Gal Thompson, CEO at Secured Signing. Needs to View is a new Invitee type that allows you to send a document to invitees who are required to view the document without needing to sign. Needs to View is available for WeSign, Notary RON sessions, Form Filler Templates and Video Signing. Security – Senders can assign Needs to View invitees with our existing authentication methods for document access. (I.e., Passcode, KBA, IDV, SMS) Flexibility – A mix of both Signer invitees and Needs to View invitees can be invited to a single or package document. In a package, an invitee can be a signer for one document and a Needs to view for another document (but cannot have both roles signer and viewer in the same document). How you can use it Needs to View is on by default – you can access the setting at My Account > My Settings For Enterprise users, the setting is located Accounts > My Account Settings For more information about Needs to View, please read our updated User Guide here: Enhancements Read Only Form Fields Read only form fields will no longer have a border and will be skipped when pressing the Next button How you can use it You can select Read Only by selecting the form field in Document Editor and checking the check box In Document Editor In Signing Process JobAdder – New Setting JobAdder users can configure to not save signed document back to their JobAdder. The new setting can filter what type of document is not saved – either for all documents, JobAdder File Type, Document Template or FormDirect form How you can use it You can find this setting at Settings -> More Settings Signature Template Preview When applying a Signature Template to a document, you will now be able to preview and edit the document before sending it to the Invitees How you can use it In the document editor, the signature template button is located on the top right You can apply a signature template to a document directly from the Inbox. Mobile Signing Improvement Key Features We have improved the capabilities of viewing and signing your document on the mobile phone for both iOS and Android. The following aspects have been improved: Smoother Navigation and Zoom capabilities We have made scrolling and zoom capabilities more responsive. Scrolling through the document will be easier including when you press the Next button to move from one form filled to the next. Field Box Visibility Field Boxes will now be highlighted when selected to increase visibility when filling out. It is recommended to open your document with Chrome on your mobile to see the full effect of the improvements. Document Templates Sort Key Features Form Filler Document Templates are now sorted in alphabetical order by default. Secured Signing for Bullhorn, Features and Enhancements – July 2022 Posted on July 25, 2022 - 4:28 am by John Webster Company Record File Type Bullhorn users have been asking us to support Company Record File Type when sending documents out for signing. Secured Signing now supports this function out-of-the-box. At the contact level, you can use file types such as resume, client resume, cover letter, etc. Rate Card For placements, we are now supporting rates allowing you to field map to the Rate Card Field within Bullhorn. Rate – Multi Rate In some cases, placements can have multiple rates with 2-3 pay rates being the most common scenario. Multi-rate placements allow you to define multiple rates for a single placement. Secured Signing now supports this within Bullhorn. Post-Signing File Permissions/ Private Visibility Once the document has been signed, you can set up who will have access to view the document, based on the user, file-type, and/or department. A number of rules can be set up to share documents with users and departments if certain field values match the rule requirements. No more worrying about accidentally showing confidential information. Which is why we are excited to announce the upcoming release of our newest feature – Signing Completion Certificate. Secured Signing’s latest feature brings you a document log report with information about the sending, signing and document activity involved during the signing process. Enabled by default, the Signing Completion Certificate will be attached on completion of the signing process, including the much-needed document audit log. The Signing Completion Certificate is certified with Secured Signing’s PKI Digital Signature to ensure the document is sealed and remains tamper-proof. This document can then be stored within your personal storage or document management systems, giving you better control and record keeping. Some of the key features include: Key Document Information Signing Completion Certificate shows relevant document information including Document Name, Document ID, Sent Date, Signed Date, and more. Document Owner & Invitee Information Events & Full Document Audit Log Commonly Asked Questions: How do I enable this setting? – The Signing Completion Certificate is enabled by default. Where can I find this setting? – Log in to your account and go to My Account > My Settings > Notifications. You will see an option to “Enable Signing Completion Certificate.” You can enable/disable the setting from here. What if I only want the document owner (sender) and members of my team to receive the Signing Completion Certificate? – We give full control to the sender to choose who they would like to receive the Signing Completion Certificate on completion of the signing process. Log in to your account and go to My Account > My Settings > Notifications. Located on the right-side you can enable/disable the Signing Completion Certificate for the Document Owner, Invitee (signers) and add/remove additional completion recipients.

Users will then be prompted to confirm they are who they say they are by entering a short numerical code which is received via SMS or an authenticator app of the users choosing.
