Web Form Templates Supports Multi-Signer Workflows

Streamlining Signature with Secured Signing
Never Chase Signatures Again header

Have you ever gotten stuck in a never-ending loop of “who needs to sign this?” Imagine you’re a business loan consultant, and you finally have all the paperwork ready for a new client. But hold on, it needs signatures from the director of the business applying for the loan. Sounds simple, right? Except you know there’s probably a company policy requiring multiple signatures for approval.

This is where Form Filler’s latest update, Multiple Invitee Support in Public Link/ Web Form Templates, comes in to save the day!

The Story of Streamlined Signatures

Let’s say you’re the loan consultant, and you’ve prepared the loan agreement using our Form Filler template builder. You know it needs signatures from both the Director of Operations and the CFO.

Here’s the magic:

1. Set Up for Success: You simply activate the “Multiple Invitee Support” feature when creating the Public Link for the agreement. This allows you to designate who needs to sign.

2. The First Step: You send the Public Link to the Director of Operations via email, signer 1.

3. Signing Made Easy: The Director of Operations opens the link and sees the agreement. But here’s the key part: they can also see there’s another signer required – the CFO.

4. Adding the Second Signer: Because of the new feature, the Director of Operations can easily add the CFO’s details directly within the form. No need for them to chase you down for additional information.

5. Flexibility is Key: Did the company policy change, and now only one director’s signature is required ? No problem! The Director of Operations can even uncheck the extra signer box, removing them from the process entirely.

6. Everyone Signs, Everyone Wins: Once both directors have signed, the completed signed agreement is sent back to template owner electronically. No more chasing signatures or wondering about internal procedures.

More Use Cases Of Web Form with Multiple Invitees/Signers

Leasing and tenancy agreements

Rental agencies can now add a public link to a tenancy form on their website allowing new or existing tenants to sign an agreement and have the first person who signs nominate signers as they need to. This gives rental agencies and tenants flexibility when completing the document, allowing them to get the leasing or tenancy agreement signed quickly and with little to no difficulty.

Internal documents that need approval

Businesses can now add a web form on their intranet or elsewhere to get approval for spending. If you typically need 2 signatures, and you only know of one of the approvers, send the link to them. This signer can then nominate the second person to complete and sign the form, moving the process along. No more running around trying to find the right people to sign.

Multiple Invitee Support: A Win-Win for Everyone

This new feature saves you, the consultant, valuable time and eliminates the back-and-forth of figuring out who needs to sign. For your clients, it creates a smoother, more efficient signing experience. No more wondering about internal procedures or who needs to sign what.

It’s a win-win for everyone involved!

Secured Signing’s RON is Compliant for New York Businesses

Secured Signing, a premier provider of electronic signature and remote online notarization (RON) solutions, is proud to announce its recognition as one of the first compliant platforms under the New York Remote Online Notarization (RON) statute.

This regulation, 19 NYCRR, Chapter V, Subchapter E, Part 182, went into effect on January 25, 2023.

Meeting the Challenges of New York RON Requirements

The updated requirements for Remote Online Notarization present unique technical challenges for both independent and in-house enterprise New York notaries. Secured Signing’s platform addresses these regulatory hurdles by offering specific, high-security features designed for compliance.

1. Accurate Geolocation and Notary Affirmation

Secured Signing’s system reviews the user’s browser to determine true geolocation rather than relying on a VPN. A critical addition to the workflow is a mandatory popup affirmation that must be selected by the notary prior to beginning the RON session.

This affirmation, recorded in the audit log, confirms that the notary is physically located within the State of New York during the session.

By providing both evidence and intent to comply, the platform ensures that the notary, the enterprise, and the New York licensing bureau can remain confident in the integrity of the transaction.

2. High-Level Identity Verification (IAL2)

To meet New York’s rigorous security standards, Secured Signing complies with the NIST Standard SP 800-63-3 for remote identity verification.

By utilizing a unique combination of identity valuations, the platform achieves Identity Assurance Level 2 (IAL2), the gold standard for verifying signers in a remote environment.

3. Streamlined Exemplar Certificate Issuance

The New York Exemplar certification document provided by Secured Signing allows notaries to seamlessly complete the required forms for their electronic notary commission. This ensures that the transition to digital notarization is fully documented and in compliance with state regulations.

Leadership Insights

We are thrilled to be one of the first platforms recognized for compliance with the New York RON statute,” said Bill Gimbel, VP of Business Development at Secured Signing. “Our innovative solution ensures that notaries and enterprise-level clients can continue to provide secure and efficient remote online notarization services in New York without interruption.”

December 2022 RON product updates – Secured Signing

Secured Signing’s Remote Online Notarization Platform is even better with New Notary Queue and Snapshot Features!

Keep reading for our tip of the month!

That’s right! Work just got a whole lot easier for companies requiring notarized documents… especially for those using the Secured Signing RON platform. Our new features focus on empowering organizations requiring an immediate notary professional, with quick and easy access to an available notary, ready when you are to complete the task!

New Feature: Notary Queue

Let’s face it… We all know that receiving, placing, and returning requests for a RON notary is a time sensitive issue… Sound familiar? The requestor wants immediate confirmation that the job has been received and will be taken care of. Often, schedulers are buried in tedious tasks and fulfilling these requests can be daunting, due to special circumstances or the “end of month” chaos.

Rather than delaying the process, you can experience automated speed without any setback! Secured Signing’s new notary queue feature allows for a quick notary assignment to post into queue.

Simple, smart, and secure… Through our innovative technology, the request is immediately processed and assigned to a notary queue where an available notary can proceed with the job and the session invite forwarded to the signer.

Notary Queue is perfect for medium to large companies performing frequent signing services and have remote, in-house RON certified Notaries able to perform RON for the entire company.

The new feature supports the ability to have different roles/people assigned to the document that can prepare and tag as needed, a meeting host and a notary. The feature also allows for the company to run the notary signing service within the queue feature.

Using Secured Signing’s API or a manual entry process, the scheduler enters the data and assigns it into a queue. A pool of your company’s notaries can pick up the assignment or you can assign it directly to a specific notary of choice.

This is also a great solution for enterprise clients who plug into a pool of notaries that fulfil session requests on a shift basis. Any notary on duty can pick up the assignment for immediate or future fulfilment. If they pick up the assignment by mistake or cannot complete the assignment, they simply return it to the queue for pick up by another notary.

Add Queues – Setting

Secured Signing Dec 2022 updates image

Admin Users within Team (up to 10 users/ Notaries) or Enterprise account (unlimited number of users/notaries) plan can setup unlimited queue and can assign available notaries to the queue.

An admin user can set up multiple queues based on types of transactions, time of the transaction or special language requests etc. You can create as many queues as you required.

Watch a video on how to set up Notary Queue
here.

Assign To me (Notary) – Notary is taking the Job

Once a preparer has submitted a document to the Notary Queue, the notary can accept the job, complete the document preparation, and invite principle/signer to join the Remote Online Notarization meeting.

Once the scheduler/preparer selects an assignment to fulfil the task, they can prep the document for signature and assign it for pick up by a notary in the queue.

The session invite is simultaneously sent to the signer(s) advising them of an upcoming RON meeting. The admin can monitor the queue to ensure all sessions are picked up or they can assign it from the queue to a specific notary for fulfilment.

All queue members (notaries) will receive an email notification that job is posted to a queue. The principle (signers, witness, guests) will also receive an email notification that the job was assigned to a notary queue, and someone will be in touch, shortly.

Assign To me (Notary)

Job not for me – Assign back to the Notary Queue

In case Notary took a job but cannot perform the task, they can assign it back to the queue for another available notary.

Watch a video of how to assign a job to the Notary Queue or how to take a job from the Notary Queue here.

Notary Queue Management

Admin users within a Team or Enterprise account plan have full visibility and control of the notary queues. The admin or those assigned in a queue have visibility of the queue for management and monitoring of the process, ensuring all submitted requests are fulfilled!

New Feature: Snapshot

Secured Signing New Feature: Snapshot

Often times, a notary has the need to collect or capture an image of supporting documentation, credentials, or stipulations during the RON session.

With Secured Signing’s new Snapshot feature, you can capture that image, crop, edit and label on the fly.

The Snapshot feature allows for capture of up to 10 images per signer. They can be downloaded along with the document as a separate exhibit. Please note that after 7 days these images are removed from the platform.

Secured Signing introduces Multi-Factor Authentication

This version of the blog post emphasizes the security benefits of the new MFA feature, providing a clear structure for users to understand how to implement it and why it matters.

Secured Signing Introduces Multi-Factor Authentication (MFA)

Secured Signing launches its newest security feature: Multi-Factor Authentication (MFA) via SMS or Authenticator App.

In an era where cybersecurity is a top priority for the digital workspace, Secured Signing is proud to introduce Multi-Factor Authentication (MFA). This new feature provides users with an essential layer of security on top of the standard login process, ensuring that “serious documents” receive the “serious protection” they deserve.

How It Works: Verification in Seconds

With MFA enabled, users are prompted to confirm their identity beyond just a password. After entering their login credentials, users must provide a short numerical code received through one of two convenient methods:

  • SMS: A code sent directly to your registered mobile device.

  • Authenticator App: A time-based code generated by your preferred app (such as Google Authenticator, Microsoft Authenticator, or Authy).

Why MFA is Essential for Your Organization

The decision to develop and release this MFA solution was driven by a combination of customer feedback and Secured Signing’s commitment to continuous improvement.

“It is important for Secured Signing to provide our customers with the right tools to enhance their security within their organization,” says Mike Eyal, Founder and CTO at Secured Signing. “We offer many security features to Enterprise customers such as integrations with Single-Sign-On (SSO) providers, and MFA is a natural extension of that.

Key Benefits of Enabling MFA:

  • Reduced Breach Risk: MFA is one of the most powerful tools available to prevent unauthorized access, even if a password has been compromised.

  • Regulatory Compliance: Many industries now require MFA to meet strict data protection and digital identity standards.

  • Enhanced Audit Trails: MFA events are logged, providing additional evidence of identity for your digital signature audit trails.

Ready Out of the Box

Secured Signing users can now utilize the MFA function with minimal setup. The feature is available immediately for:

  • Pay-as-you-Go accounts

  • Business accounts

  • Enterprise accounts

A Note on the Future of Security

While Secured Signing is not currently enforcing MFA for all users, there is a strategic plan to auto-enable and enforce MFA for all logins in the future. We encourage all organizations to adopt this feature now to ensure the highest level of security and a smooth transition before it becomes a requirement.
