Notary: RON Introduction Script

Boilerplate script for Notary introducing a RON session to a Signer.

Please confirm with your Sec of State and additional requirements

  1. Hello ___ Can you hear and see me clearly
  2. Do you agree to allow this session to be recorded
  3. Do you agree to having this notarial event conducted pursuant to the “Your State” remote online notarizations statutes.
  4. Do you understand the contents of the documents you are about to sign
  5. Are you signing these documents of your own free will

Note for Florida notaries there at special additional questions that must be ask. Please consult your Florida notary manual and add below.

Notary: ID Proof Process

There are two elements that support the identity verification process, the notary journal, and the live ID Verification confirmation screen available to the notary during the RON session.

Below is a sample journal entry showing the Date/Time/Act/Doc Description/Pages/Signer/Address/Notes(if any)/ID used & KBA passed status/Video Record Access Link & Passcode/Venue/Doc ID.

The other verification occurs live during the session when the notary clicks on the ID verification link on our platform. As shown below it displays the front and back of the ID that was forensically examined to be genuine, a larger image of the front of the ID more clearly showing the face on that ID. To the right is the image of the live selfie taken during the ID validation process that is biometrically compared to the face on the ID. Below that is the Date/Time of the examination, below that is that ID’s data that’s transposed from the ID. Finally on the large screen is a live display of the signer wherein the notary could ask the signer to hold up the ID that was determined to be valid for the traditional stare and compare process.

Notary: How to add the notary as a witness to a signature

In the below example we show two witnesses one of which is the notary. Enter the notaries email address and name as a witness and assign to whom they will be a witness for.

At the doc prep stage select the notary as witness from the +Add Invitee dropdown. When adding the notary as the notary select from Add Notary Signature. From that point proceed as usual.

Using RON select Add Signer as Personally Known, then select Add Signer again for the 2 witnesses

At the journal entry frame in the notes field indicate the identity methods as seen below.

After prepping the data/signer fields move to Add Invitee “the witnesses”, then and select + Add needs to View for each.

After selecting Next the invite frame will appear indicating the witnesses as “Viewer”.

The balance of the session is as per usual.

Notary: How to add a Guest to a notarial session

Login > RON > Complete steps 1 & 2 of the 5 step process > Next > Schedule > At step 3 below after adding Signer click  + Add Guest. The guest ID default should be “Personal Knowledge” Continue as usual.

Notary: Failed IDV Procedure

This is what the signer sees when they fail the IDV, the assumption is when the notary signs in to join the session and clicks on the Go to Meeting tab they will see the signer failed the IDV with no green circle indicating the signer is not in the room.

When the notary sees “Failed IDV” they should contact the signer to log back in after they have completed the below. 

The notary must return to their Pending tab and click on the >>I icon then the + (Signers Name I.e. William Gimbel) to see the images, as show on the third page.

After clicking on Allow Signing, the notary must reengage the session from their email/invitations tab and accept the signer into session. The signer logs back in, after entering their security code they will be ported directly to the signing platform.

Notary: Biometric ID Selections procedure

There are various options to select ID Verification with Biometric Matching without creating that ID verification process as your default. As seen below you can change from the default KBA & ID Verification to just ID Verification – Credential Analysis simply by checking that box!

Another point at which you can elect Biometric is at the individual signer step. In this way one signer could be KBA/ID, one signer Personally known and the other Biometric (ID Verification-Credential Analysis) only.

There is also a third spot where the ID verification method can be changed per/signer and that is at the final step where you send out the session email invite.

Once the signer who’s identity was verified via forensic examination of the submitted ID and a Liveness/Biometric test is performed. The resulting data and pictures are available for display to the notary in session as seen below. Where the front and back of the verified ID are displayed, a larger image of the picture side of the ID and a copy of the face selfie taken after the liveness test. To the right is a live display of the signer wherein you could ask them to hold up the ID that was verified.

Secured Signing Inc, provides a Biometric document authentication process to determine authenticity, and to extract face image as well as demographic data such as name and address.  The face image extracted from the ID document is available post processing for biometric facial comparison to a live selfie provided at the same time the ID is presented for authentication.

 

Information About Face Match & Liveness Detection:

 

Face analysis uses a series of attributes such as:

·       the head pose – orientation in a 3D space

·       a guess at an age

·       what emotion is displayed

·       if there is facial hair or the person is wearing glasses

·       whether the face in the image has makeup applied

·       whether the person in the image is smiling

·       blur – how blurred the face is (which can be an indication of how likely the face is to  

        be the main focus of the image)

·       exposure – aspects such as underexposed or over exposed and applies to the face in

        the image and not the overall image exposure

·       noise – refers to visual noise in the image. If you have taken a photo with a high ISO

        setting for darker settings, you would notice this noise in the image. The image looks

        grainy or full of tiny dots that make the image less clear

·       occlusion – determines if there may be objects blocking the face in the image

 

While glasses, sunglasses, or reflections (obfuscating areas around the eyes) or light in glasses can negatively impact a match and best practice is to remove them for the selfie, it is not required.

The picture below provides an idea of what gets measured so you can see why masks or eyeglasses may, or may not, present problems to the score.  This is not a perfect example of all things considered in the algorithm.

Notary: How to top up your account with Secured Signing Credits

If you have selected Auto TopUp (under My Account > My settings) and your account credits drop below your selected amount, we debit your card for the amount you selected when setting up your account. Your other option is to deselect auto top up, which will require you to monitor how many credits are available for use when you log in. (see second screen shot below)

Below is the default screen after logging, you would want to make sure you have enough credits to conduct the next signing you are about to enter. If not, you can manually select “Top Up here“.

Notary: How Secured Signing billing, credits and auto top up works

The assumption here is you signed up for a monthly subscription on 1.01.23 to include us storing your journal and recording at $14.95/month. Further you selected Auto Topup, meaning that when your account credit reservation balance drops below $15.00 you elected to have another $15.00 reserved off your debit/credit card.

Jan 1st, $15.00 is reserved off your debit/credit card, not charged but reserved for the upcoming monthly subscription fee.

Jan 3rd, you prepare a session with 1 signer whose identity must be confirmed via KBA & IDV, ($1.00 + $3.00) and you will add 1 stamp ($1.00) to the document and make a recording of the session ($5.00) for a total session charge of $10.00

Jan 3rd. your credit reservation balance is now $5.00, below the replenish threshold of $15.00 so another $15.00 is reserved from your debit/credit card. (running total reserved $30.00, available unassigned credits are $5.00 ($30 – $15 – $10 =$5.00)

Scenario 1: That’s all the activity during the 30-day billing period. At the 30-day mark you are billed $24.95. ($14.95 + $10.00) Leaving a credits balance of $5.05. Which is below the $15.00 replenish threshold so another $15.00 is reserved off your debit/credit card on 2.01.23. Now your balance in credits is $20.05 

Scenario 2: The anticipated session you scheduled did not occur. Seven days after the event was schedule the $10.00 in credits associated with that event are returned to your account so your credit balance is now $30.00. At the end of the month, you will be billed only $14.95 for your subscription leaving a credits balance of $15.05

Scenario 2a: You are notified that the signing is cancelled 2 days after you prepared it and had those credits debited from your account balance. You Login > In Progress > Actions tab > Click the red trash can icon > credits associated with that transaction are returned to your account.

Notice: You are billed at the end of your 30-day registration anniversary, so while reservations are deducted, and available balance is Topped Off from your debit/credit card you are not charged until the end of the 30 days. If you cancel your account anytime during the month you will be charged at that time for the subscription plus any completed activity.
