New Feature – Needs to View 

“As a leading Digital Signature and Remote Online Notarization (RON) platform, we continue to release features and enhancements to our platform that will have a real impact on our user’s day-today operations, which is why we are excited to release “Needs to View,” a new process, which allows to invite a person to view the document, but not sign.”

Needs to View is a new Invitee type that allows you to send a document to invitees who are required to view the document without needing to sign. Needs to View is available for WeSign, Notary RON sessions, Form Filler Templates and Video Signing.  

Security – Senders can assign Needs to View invitees with our existing authentication methods for document access. (I.e., Passcode, KBA, IDV, SMS)  

Flexibility – A mix of both Signer invitees and Needs to View invitees can be invited to a single or package document. In a package, an invitee can be a signer for one document and a Needs to view for another document (but cannot have both roles signer and viewer in the same document).   

How you can use it  

Needs to View is on by default – you can access the setting at My Account > My Settings 

For Enterprise users, the setting is located Accounts > My Account Settings

JobAdder users can configure to not save signed document back to their JobAdder.   

The new setting can filter what type of document is not saved – either for all documents, JobAdder File Type, Document Template or FormDirect form

Signature Template Preview  

When applying a Signature Template to a document, you will now be able to preview and edit the document before sending it to the Invitees

In the document editor, the signature template button is located on the top right  

You can apply a signature template to a document directly from the Inbox.  

 

Mobile Signing Improvement

We have improved the capabilities of viewing and signing your document on the mobile phone for both iOS and Android. The following aspects have been improved:  

Smoother Navigation and Zoom capabilities  

  • We have made scrolling and zoom capabilities more responsive. Scrolling through the document will be easier including when you press the Next button to move from one form filled to the next.   

Field Box Visibility  

  • Field Boxes will now be highlighted when selected to increase visibility when filling out.

It is recommended to open your document with Chrome on your mobile to see the full effect of the improvements.   

Document Templates Sort  

Key Features  

Form Filler Document Templates are now sorted in alphabetical order by default.  

Changing the sort order will now be saved and be the default view when viewing documents in Inbox, In-Progress, Signed and Templates tab

Secured Signing for Bullhorn, Features and Enhancements – July 2022

Company Record File Type 

Bullhorn users have been asking us to support Company Record File Type when sending documents out for signing. Secured Signing now supports this function out-of-the-box. At the contact level, you can use file types such as resume, client resume, cover letter, etc. 

 

Rate Card  

For placements, we are now supporting rates allowing you to field map to the Rate Card Field within Bullhorn.  

 

Rate – Multi Rate 

In some cases, placements can have multiple rates with 2-3 pay rates being the most common scenario. Multi-rate placements allow you to define multiple rates for a single placement. Secured Signing now supports this within Bullhorn. 


Post-Signing File Permissions/ Private Visibility 

Once the document has been signed, you can set up who will have access to view the document, based on the user, file-type, and/or department. 

A number of rules can be set up to share documents with users and departments if certain field values match the rule requirements. No more worrying about accidentally showing confidential information.

New Feature: Signing Completion Certificate

We are always looking to provide our customers with features that enhance and protect their business. Which is why we are excited to announce the upcoming release of our newest feature – Signing Completion Certificate. 

Secured Signing’s latest feature brings you a document log report with information about the sending, signing and document activity involved during the signing process. 

Enabled by default, the Signing Completion Certificate will be attached on completion of the signing process, including the much-needed document audit log. 

The Signing Completion Certificate is certified with Secured Signing’s PKI Digital Signature to ensure the document is sealed and remains tamper-proof. This document can then be stored within your personal storage or document management systems, giving you better control and record keeping.

– Log in to your account and go to My Account > My Settings > Notifications. You will see an option to “Enable Signing Completion Certificate.” You can enable/disable the setting from here. 


What if I only want the document owner (sender) and members of my team to receive the Signing Completion Certificate? 

– We give full control to the sender to choose who they would like to receive the Signing Completion Certificate on completion of the signing process. 

 

Log in to your account and go to My Account > My Settings > Notifications. Located on the right-side you can enable/disable the Signing Completion Certificate for the Document Owner, Invitee (signers) and add/remove additional completion recipients.

Byron Shire Council selects Secured Signing as their Digital Signature provider

A comparison of digital signature providers led Byron Shire Council, an Australian local government organization, to select Secured Signing. The primary requirement for adopting a digital signature solution was for signing license and leases for properties.

The council’s rationalization for digitizing was around efficiency, removing paper, and saving time spent moving documents around internally and externally. The solution needed to integrate with their document management system, Content Manager. Colin had feedback from another Australian Council that the quality of integration between Secured Signing and Content Manager integration was a reason they had changed to Secured Signing, after previously being let down by another Digital Signature provider.

After doing their own due diligence and talking to surrounding councils, Byron Shire Council made the decision to go ahead with Secured Signing as their digital signature provider.

There was an instance where we wanted to get a couple of other teams up and running so we scheduled an hour-long session, which we were happy to pay for. However, we were pleasantly surprised and advised that there would be no cost or consulting fee.”

Byron Shire Council says that Secured Signing gives them the ability to sign documents without having to physically send them around, monitor and track documents, trust that they are signed securely, saving money and time from an efficiency point of view.

Lockyer Valley Regional Council enhances document security with Secured Signing

Lockyer Valley Regional Council continues to use Secured Signing across the organisation as their Enterprise Digital Signing platform.

The Secured Signing platform allows the council to meet its document security requirements, gain visibility of documents that need to be signed, and improve time efficiency.

When evaluating digital signature providers, traceability of document flow was a key consideration.

“Definitely there is traceability with the audit trails but is also the completion emails being invaluable for records management with the right departments getting the right documents at the right time,” says Ajana Ranatunge, Coordinator ICT Projects and Business Operations for Lockyer Valley Regional Council. “From Payroll to HR, the workflows operate well and ensure nothing goes unnoticed.”

With the general workflows set up for their document signing processes, Secured Signing enabled staff to get things done efficiently and stress-free.

“Whether it’s certificates, community notifications, food licenses, we utilize Secured Signing everywhere in the organization. Working from home or getting a customer to sign a document has never been easier than with Secured Signing.”

Lockyer Valley Regional Council started off with a small group of people involving key personnel who were interested in using digital signatures for their specific use case of generating letters. It was a small project, but it was easy to see the opportunity that implementing a digital signature system would provide the organization.

The change management process for Lockyer Valley was straightforward as they had recently undertaken a Microsoft Office 365 and SharePoint implementation prior to implementing Secured Signing.

“There was hesitation amongst some staff around implementation of digital signatures, but once we ran through the system and had a trial period, there was greater buy-in and adoption.”

Today, Lockyer Valley has 60 people using Secured Signing.

Secured Signing introduces Multi-Factor Authentication

Launch of the newest security feature: Multi-Factor Authentication (MFA) via SMS or Authenticator App

This comes at a time where cybersecurity is front of mind for all in the digital workspace and provides users of Secured Signing with an additional layer of security on top of the current login process.

 

Users will then be prompted to confirm they are who they say they are by entering a short numerical code which is received via SMS or an authenticator app of the users choosing.

 

A combination of customer feedback and Secured Signing’s drive for continuous improvement and being the serious signing platform for serious documents played a part in the decision to develop and release an MFA solution.
