New Feature: Multi-Factor Authentication

Protecting our customers and our customer data is our highest priority at Secured Signing. It is important to provide customers with the right tools to enhance their security, which is why we have now released Multi-Factor Authentication (MFA) for all our paid customers.

What is MFA? 

Multi-Factor Authentication is a security process that requires two forms of user ID to log in to Secured Signing. It helps keep your account safe. It adds an additional layer of security on top of your current login in process to prove that the person logging in is who they say they are. 

And, it’s free to use!  

There are two ways you can use MFA with Secured Signing: use an authenticator app or use SMS verification. 

For improved account security we recommend activating MFA on your account. 

What are our plans for Secured Signing users and MFA? 

Secured Signing is not enforcing MFA or stopping non-MFA users from accessing Secured Signing. However, we plan to auto-enable and enforce MFA for all logins to Secured Signing in the future. This is to ensure that we are providing all our customers with the highest level of security possible. 

How Do I Enable MFA?

For Business Accounts

Log in to your Secured Signing and navigate to My Account > My Settings > Account Security. 

Choose your verification method, enter the code, and add your backup email address. 

Easy. 

Can’t see this option? Get in touch with your Account Administrator. 

For Enterprise Accounts

For Enterprise Users, MFA will need to be activated through the Admin Portal. To activate please contact your Enterprise Administrator. 

In the case you are using Secured Signing with Azure Active Directory (AAD) Single Sign-On, Secured Signing’s MFA is not available. Please use the MFA setting within Azure Active Directory (AAD).

As the Admin, you will be prompted to set up Multi-Factor Authentication on login to the Admin Portal.

You can also navigate to your Settings > Account Security.

Enable MFA and choose which Authentication Method you would like to use across your organisation – Authenticator App or SMS.

Users will then be able to set up MFA using the instructions in the For Business Accounts section.

If you are coming through an API or integration, such as Salesforce, Bullhorn or JobAdder, or any other, you do not need to access Secured Signing with MFA.

The All-in-One Digital Signature and Audio-Visual Call Platform Gaining Rapid Adoption

Since the initial outbreak of COVID-19, Secured Signing has seen increased adoption of their video signing and remote online notarization platform. With organizations moving toward a hybrid work model, this trend will likely continue.

Product Enhancements: December 2021 Edition

We have introduced two new features to the Secured Signing platform which will enhance our user’s experience.

WeSign – Menu Bar

With our newest WeSign enhancement we have now added a menu bar to the WeSign tagging window with the same look and feel as FormFiller.

Now you can fully customize your text fields within the WeSign Tagging Process with Font, Font Size, Bold, Italics, Underline, Font Color, and more.

With this new addition to the WeSign process we expect a better experience for senders and signers of Secured Signing documents.

Reviewer Process – Review Before Invitee Completes Form Fields

We have now added the ability to review Form Filler documents BEFORE they are filled out and signed by an invitee. Reviewers can now be brought in early on in the signing process, which should improve our user’s ability to have added control and flexibility.

Reviewers are still able to review the document AFTER the signer has filled in the Form Fields, and if the Reviewer approves, the document can be pushed to the invitee for signing.

By Default, this setting is enabled for all new accounts.

For existing users you will need to enable the [Review Before Filling Form] setting.

Where is this setting located?

For Free Accounts, Pay-as-you-Go, or Business Accounts

Go to [My Account] > [My Settings] and Scroll Down to [Review Before Filling Form]. Make sure the slider is switched to “ON”.

For Enterprise Accounts

Log in to the Enterprise Admin Portal and go to [Settings] > [My Accounts] Setting and tick [Review Before Filling Form].

Secured Signing web service uses Digital Signatures PKI technology for digitally signing documents.

Public Key Infrastructure (PKI) technology has been proven to be the ONLY technology available today that ensures non-forgeable signatures.

In a PKI system, you will get as a user, two keys: a public key and a private key. These keys are used for encrypting and decrypting information, digitally signing electronic information and verifying the authenticity of their owner. While the public key is distributed widely, the corresponding private key is held and encrypted in Secured Signing hardware (HSM) device and only the private key’s owner able to access and use it.

The EU Directive 1999/93/EC for Digital Signatures recognised and defined a stronger type of electronic signature, the Advanced Electronic Signature. Only Public Key Infrastructure (PKI) digital signatures meet the requirements for such signatures.

Information security policies: A policy framework is in place to provide management direction and support for information security in accordance with business requirements and relevant laws and regulations.

Organisation of information security: Secured Signing have established a management framework to initiate and control the implementation and operation of information security within the organisation. This framework considers and ensures the security of teleworking and use of mobile devices as per the Mobile Device and Teleworking Policy. The framework will also assess risks to projects and review of the types and confidentiality levels of information the project will utilise and manage.

Human Resource Security: Secured Signing have established processes and responsibilities relating to information security during the recruitment process, employment and separation. All employees receive security awareness training upon induction, and at least annually thereafter.

Asset Management: Information assets, including hardware, software and data have been identified and classified and an inventory of assets is maintained. Secured Signing classify and handle all information assets in accordance with the Information Classification Policy. Secured Signing and dispose of information in accordance with the Acceptable Use Policy.

Access Control: Methods and controls have been implemented to manage logical access to sensitive data to protect the confidentiality of information as well as integrity and availability requirements. Access requirements are assessed against Access Control Policy and Information Classification Policy. Access to Secured Signing information and systems must be:

  • attributable to a uniquely identifiable individual who is responsible for actions
  • performed with their system account
  • based on the requirements of the individual’s role
  • managed by passwords or other accepted authentication mechanisms and formally authorised by asset owners
  • routinely revalidated and removed if no longer required

Cryptography: Methods and controls for ensuring data are secured during transmission or storage through appropriate encryption processes. Includes methods and processes for managing keys, software and other artefacts.

Physical and environmental security: Appropriate physical controls protect information assets against loss, physical abuse, unauthorised access and environmental hazards. These include perimeter security controls, physical access controls, intruder detection controls, fire, and flood and power protection controls.

Operations security: Methods and controls are implemented that balance the need for IT Operations professionals to have privileged access to systems and networks with the requirement to maintain secure access and confidentiality of data. Management and operation of computers and networks shall be, commensurate with the business risk and value of the information assets. Access into networks will be granted on an individual user and application basis using authorised devices and secured pathways.

Communications security: Methods and controls are implemented to manage the secure transmission of information to ensure confidentiality of sensitive data and to minimise the risk of data loss or leakage. Systems and networks are segregated according to their respective information security risks and use appropriate control mechanisms such as firewalls/gateways, physical isolation and encryption.

System acquisition, development and maintenance: Information security controls for system acquisition, development and maintenance are specified in the Secure Development Policy and included as an integral part of the software development and implementation process.

Security requirements are identified prior to the development or procurement of new information systems, documented in business requirements, validated and tested prior to implementation, and regularly throughout the systems lifecycle.

Supplier relationships: Secured Signing have implemented security controls and processes to manage supplier access to information assets. Suppliers and vendors are be given access privileges only at the level required to deliver contracted services and contracts must comply with information security policies.

Information security incident management: Secured Signing apply a consistent and effective approach to the management of information security incidents. Procedures that define the course of action when a security incident is identified are documented and made available to all employees.

Information security aspects of business continuity management: The application of business continuity management minimises disruption to Secured Signing operations, defining the approach to resilience, disaster recovery and general contingency controls. Secured Signing have developed and periodically review and test Business Continuity Plans that support information security continuity.

Compliance: Secured Signing ensure compliance with all applicable legal and contractual obligations related to information security including taking reasonable steps are taken to monitor, review and audit information security effectiveness. This includes the assignment of security roles, maintenance of policies and processes and reporting of non-compliance. Secured Signing maintains formal processes in place to manage a data breach and the mandatory notifications that are required under relevant laws and specific customer contracts.

Secured Signing has launched its Notary Certification Program

Secured Signing announces today that it has recently launched the Secured Signing RON Certification course, which helps notaries to be experts in the Secured Signing platform.

Secured Signing Notaries undergo the online course, improving their knowledge of the Secured Signing Remote Online Notarization (RON) platform and empowering them when using the software for the notarization documents.

 

The Secured Signing Notary Certificate is achieved by completing a series of learning modules accompanied by quizzes and videos. When the notary is ready, they will sit the online final exam. Secured Signing for Notary Remote Online Notarization (RON) is now MISMO certified

MISMO has issued guidelines and best practices for Remote Online Notarizations of real-estate documents, and Secured signing, who is MISMO compliant, supports those recommendations.

 

Title Companies, Bankers, Mortgage Lenders, and Notaries can now use Secured Signing’s RON platform for processing Real Estate transactions whilst meeting MISMO requirements.

 

Most of the work to perform RON while being MISMO compliant happens behind the scenes, with Secured Signing giving peace of mind to all parties involved in the notarization process for Real Estate transactions.

 

MISMO guidelines mandate that a participant must perform identity proofing (Knowledge Base Authentication), credential analysis (3rd party ID Verification), and then move straight into the RON Session and if a signer must leave the RON session for whatever reason, they will be required to perform Identity authentication again before being allowed back into the session.

New features and product enhancements – September 2021

It has been an exciting year for Secured Signing with many innovations and new features added to your favorite signing platform. As a serious signing platform, we continue to build and improve our software to keep your documents secure.

ID Verification 

 

One of our newest and innovative authentication features is ID Verification.  

  • Captures the front & back of client IDs using a mobile device. 
  • Performs 50+ forensic tests on IDs in real time for authentication. 
  • Engages facial recognition match & liveness test with a quick selfie. 
  • Accurate data matching between provided ID and documents used to verify key identifiers. E.g., Client first and last name matching. 
  • Visually checks IDs during video sessions and compares ID data captured with real-time audio-visual technology (video signing only). 

 

You can set up ID Verification Settings at the account level under My Account > My Settings. 

 

 

You can also adjust the ID Verification Settings on the fly within the invitation workflow at an invitee level. 

 

Video Signing & Remote Online Notarization

Since launching Video Signing and Remote Online Notarization in 2020 we have added many improvements, including: 

 

Rescheduling video signing sessions 

There were times when users needed to reschedule signing sessions when invitees were no-shows, or a meeting clashed. Users can now manage scheduled video signing sessions from the In-Progress tab.

 

All participants will receive a new email invitation to join the newly scheduled meeting. 

 

Added a meeting room 

To improve the video signing host’s experience, you can now enter a meeting room before the video signing session starts. Here you can see if signers have completed authentication processes and are ready to join. 

ID Verification Check 

In the case that a signer completes ID Verification as part of their document access authentication, users can now use the ID Verification check button. During the video signing session users can compare the captured ID Verification information with the signer, live, and in real time.

We Sign 

WeSign is a foundational pillar to our software and without it, signing would not be able to take place. We have released the following product enhancements to improve user experience. 

Assign Form Fields to any Invitee    

We have always had form fields within the signing process, and we now let users assign form fields to specific invitees during document tagging using the form field settings box. 

 

 

Authentication Types and Settings 

We had users asking for flexibility in choosing authentication types for their invitees and signers. 

 

We have now added Invitee Authentication Type settings so you can set document access authentication at an account level under My Account > My Settings. 

 

You can also set the authentication type during the “Invitation Workflow” stage of the WeSign process. 

 

 

Save as a Draft 

We had users who were Tagging lengthy WeSign documents, only to lose all their progress when they had to leave. There is nothing worse than having to repeat something that you know you have already done. Now you can now save a WeSign process as a draft and come back to it later.

Use Templates Folder when Adding Documents 

We have always allowed signing of documents that you upload from your own storage, that are in your Inbox, or are in your signed folder.  

 

Now we have added “Select from Template Folder” which lets you use any templates that you have built. 

 

 

Multiple Witness Signatures – Smart Tags 

At times when a customer using our Smart Tags, a witness signature is required in several positions throughout a document.  

Now you can add multiple signature fields to a document for the same witness. Just duplicate the witness smart tag at the position witness needs to sign:

We encountered scenarios where users using Smart Tags needed more than one witness for an invitee. You can now identify them by number.

Secured Signing Credits 

We have now begun to streamline our billing and payments process by introducing Secured Signing credits.  

 

 

Secured Signing credits are purchased so you can use Add On features as below. These credits are allocated to your “Allocated Credits” when getting documents signed. You can also setup and enable auto top up, so that you never run out of credits. 

 

Allocated credits for a signing session will use a combination of the following features:  

  • SMS 
  • Video Signing 
  • ID Verification 
  • Knowledge Based Authentication (US Users only) 
  • Notary Stamp / Seal (Remote Online Notarization) 

 

Credits that you are allocated to a signing session, but are not needed, are credited back to your Secured Signing balance.

Working with government and public sector users, we were getting feedback to integrate directly into document management systems. One popular system was MicroFocus Content Manager which led to integrating our digital signature functionality into the system. 

 

Secured Signing is integrated right into Content Manager meaning you and others in your organization can access signing capability without having to leave Content Manager.
