How to Send multiple Documents with WeSign

Step-by-Step process to Send a WeSign Package

Select the Documents

  1. Upload the Documents into your Secured Signing Account

2. Select the Documents to Send for WeSign Package

Tag your Document

3. On the Tagging page, Documents can be selected from the Document List

4. Click Add Invitee and select from Signatures for Signing or Needs to View for viewing the document only

– Enter Invitee Details, the minimum requirement is Email Address, First Name and Last Name

5. Add & position the Signature Box on the Document and Customise the process with the Signature Settings. Once tagged, click Next to Tag the other Document in the package

 – Just like the normal WeSign process, sender can add FormFields to each Document within the package.

6. Check Invitation Workflow to finalise workflow settings. Customise Package Name, Due Date and other Settings

7. Click Send to generate Email Invitation for your Invitee

8. My Documents: In Progress tab includes different actions to check document status, send reminders, or view your document. Each Document also include its own Actions

How to Send a Face-to-Face In-Person Signing

In-Person Signing with WeSign!

Face-to-Face In-Person signing is a method of obtaining signatures in a secure and reliable manner by conducting In-person signing sessions.

Step by Step process on How to arrange a Face-to-Face Signing

Face2Face Settings

1. Enable Face to Face Settings from the Account Settings

My Account > My Settings > Face2Face > Update Settings

2. Upload a Document or Select from the Inbox Document List to do WeSign

3. Tag the Document with a Signer or Viewer and Add the Invitee Details: First Name, Last Name and Email Address

4. After clicking Next, Check Invitation Workflow to finalise workflow settings and Next for More Features

Tick Face2Face Sign to add the feature on the process. SMS Authentication is the default method when adding Face to Face into the Signing.

5. Click Send to start the process. Check My Documents: In Progress tab for different Signing Actions and Document Status

Face to Face Signing is different from your usual WeSign and FomFiller process, on this process there will be no email invitation sent to the Invitee, only a Notification to the Sender.

6. Face to Face Signing is generated from the Sender’s Login Account: In Progress tab > Continue Face2Face Signing

7. Click the Click to Sign button to generate the SMS notification to the Invitee with the passcode

The Face2Face Login Portal is a centralized, secure digital portal where users can manage and complete all their in-person signings through secured signing’s Face2Face solution. This user-friendly interface streamlines executing face2face document signing in a physical location.

The portal provides access to scheduled signings, real-time updates and Signed copies once completed.

Step by Step process on How to build your Templates with Secured Signing Form Filler

New Template

  1. From the Templates tab, click Create New Template to start building your Form Filler Template

2. Select any approved file from your File Manager and click Create Template to start Tagging

3. Tag the Document with Signature for Signing and Needs to View for viewing the document only, no signature required

4. Resize and Position the Signature Box on the Document. Signature Settings for extra features to customise the process as well as adding a Witness Signer.

5. Click Add Form Field and Select from the List of Form Field options

6. The most used Form Field is Text Box. Set the Field Settings accordingly based on the workflow.

  • Set Validation for who will Fill the Field
  • Read Only if you want for the information to be unedited or printed into the Document
  • Select Validation Rule
  • Add Field Length
  • Set Field Label from the Drop Down or Set specific Label
  • Set up Conditional Logic or Formula Field

7. Date Picker is another Form Field option available. Field Settings are available for this field as well.

  • Set Validation for who will Fill the Field
  • Set Field Label from the Drop Down or Set specific Label
  • Select Date Format
  • Fill-in Date to get the Invitee to add the date of Signing
  • Set Conditional Logic

8. Drop Down List is a useful field for when you want the invitee to choose an option from a list. Field Settings are available to customise the workflow.

  • Set Validation for who will Fill the Field
  • Read Only if you want for the information to be unedited or printed into the Document

  • Option to Save and Reuse the List

9. Multi Line Text Box is a Text Field for invitees to input longer texts, comments or notes.

  • Set Validation for who will Fill the Field
  • Read Only if you want for the information to be unedited or printed into the Document
  • Set Field Label from the Drop Down or Set specific Label

  • Option to Save and Reuse the List

10. Other available Form Fields

Check Box to get the Invitee to Select one or more options.

Radio Button allows the Invitee to choose a single option from a set or group of options

File Upload Button to request invitees to upload files during the Filling process

Strikethrough Text to add Strikethrough mark to void or invalidate a section from the Document

Blur a Region to hide sensitive information or section from the Document

Multiple Invitees

11. Templates can have as much Invitees as required. Invitees can be a mix of Signers and Viewers, as well as default Invitees on the process.

Adding an additional invitee can be done during the Tagging, and set a Default Invitee for the Template.

Viewer Branch Manager is a default Invitee: Viewer on the process, whenever the Application Form gets signed, Branch Manager receives an invitation to view the Document as well.

12. When there are multiple invitees on the process, Assigned Field option gets added on the Field Settings. It is important to Assign the Field accordingly to who will fill the field based from the list of Invitees on the process.

12. Click Save as Template to finalise the Template’s Workflow

13. Set additional Workflow Settings for the Template and click Save

      1. Add or update Template Name as well as Signed Document Name

      2. Export the Data input by the Invitee as CSV on Completion

      3. Get a Link – to generate the signing process as a Link


   Workflow Settings:

      4. Select a pre-built Email Template for Invitation Email or Completion Email

      5. Add Attachments from Document Library

      6. Additional Notification Recipients – Add default notification recipient when the Signing has started, very similar to email CC

      7. Additional Completion Recipients – Send a notification to another person when the Signing has been completed

There are multiple actions and functionalities available in the Templates tab. From Creating the Template, Sending Templates, sharing and editing can be done through this tab.

Each icon in the Actions have its own functionalities

 

   1. Edit the Template – Add or Remove Signatures or Form Fields

   2. Replace the Document – Upload a new Document to replace the document content without changing the Template’s layout

   3. Copy the Template – Create a Copy of the exact same version of the Template

   4. Share the Template – Select the users to Share the Template with on the Account

   5. Delete the Template – completely Delete the template from the Account. Please note once deleted, templates cannot be retrieved

   6. Add to Pack – Add the Template into an existing Package

Template Package

Pack or Package is a set of Documents or Templates that can be sent together for a single, seamless signing process. Great for simplifying document-heavy processes such as Employee Onboarding, Real Estate transactions or Legal and Financial bundles.

To create the Package, customise the signing order by selecting the Template to which sequence to be filled and signed

How to Fill and Sign Form Filler Template with Secured Signing

The FormFiller provides a user-friendly and efficient way to collect data and complete electronic forms. It eliminates the need for manual paperwork and enables a streamlined and secure process for gathering information from recipients.

Step-by-Step guide to Fill and Sign a Fom Filler Template through Secured Signing

Access the Template

  1. Go to the Inbox where the Email Invitation was sent and Click the blue button to start the Signing process

2. Add the 4-digit passcode from the invitation to successfully authenticate the Template

3. Read the pop-up message carefully and click OK to use Electronic Records and Digital Signature Technology to sign the Template

    Some Fields are automatically filled in based from the information that the Sender provided

    Mandatory Fields are in Red – these fields must be filled in before Signing the Template

4. Fill the Mandatory Fields with the correct information

     Click Next to go on the next Field to Fill or click the Field itself

Check the top panel for useful Actions:

     Sign button is another way to Sign the Document

     Signatures to update any Saved Signatures if you have any

     Save to save the information added, this is helpful when the template is quite big

     Support to send an email to Secured Signing

     Sign Out  button to log-out of the Signing page

5. Click the Click to Sign box to Sign the Document and Capture your Signature

6. Confirm Form details and Sign the Template

Multiple Invitees

7. If there are multiple Invitees on the process – the email invitation will be generated for the next Invitee to Sign or View the Template once the first Invitee has completed the process on their end

    Next Invitee will access the Template from the Invitation Workflow and add the passcode required

8. Scroll through the Template to View. The counter must be 100% for the Viewer to continue and complete the Signing process

9. Signing all done. For more information about your Signed Document, contact the Document Owner by replying to the Email Invitation
